ROLE SUMMARY
The Lions is seeking a bright and motivated Administrator to join our team. This is an exciting opportunity to gain experience in a fast-paced, high-profile environment, working alongside industry leaders and playing a key role in the success of this iconic rugby brand. The Corporate Services Assistant will report to HR & Office Manager and will be responsible for providing administrative support to the Corporate Services Executive team in the most efficient and professional manner. The role requires an enthusiastic and proactive individual who can manage multiple priorities and build strong relationships across the business.
- 12-month Fixed Term Contract.
- Location: The role will be based in the Lions HQ in Dublin 4. The role will be hybrid with occasional travel to the UK required.

ROLES & RESPONSIBILITIES
Day to day responsibilities will include:
- Responsible for the proactive management of the Executive Directors calendar.
- Anticipating diary/calendar changes and responds accordingly, including necessary pre-brief or debrief meetings.
- Liaising with Receptionist on all Executive Directors travel arrangements, coordinating itineraries, ensuring smooth end to end process.
- Preparing information, minute taking, and support documentation as required.
- Processing Executive Director expenses in a timely manner and in line with the Travel & Expense Policy.
- Manage Executive Directors ticket and hospitality requests and/ or hosting duties for matches.
- Ensuring Gift & Hospitality forms are submitted prior to attendance at external events.
- Provide administrative & when required planning services for Lions events including 1888 club, staff events planning, identifying & liaising with venues, arranging travel etc.
- Cover for the Executive Assistant to CEO when needed.
- Be flexible and adaptable in taking on new tasks or supporting other areas of the business when required.
- Liaise closely with the Executive Assistant and Receptionist as required.
- Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business, and operational plans.
- Is flexible and adaptable in taking on new tasks or supporting other areas of the business when required.
- Establish BIL LRT & LTAU meeting schedule and communicate to relevant Stakeholders.
- Preparation of Meeting Papers and Board Packs, ensuring agendas & papers comply with corporate format on all occasions.
- Minute taker at BIL LRT & LTAU meetings.
- Cover reception duties in the afternoons and during holiday cover.
QUALIFICATIONS, SKILLS & EXPERIENCE
Essential:
- Must have a record of experience supporting senior leadership.
- Must have extensive diary management experience.
- Must have advanced word processing and Microsoft Office suite (Outlook, Word, PowerPoint, and Excel).
- Excellent verbal and written communication skills required.
- Excellent attention to details and proofreading skills.
- Must be experienced in taking meeting minutes.
- Must be able to quickly establish positive working relationships with key external stakeholders both nationally and internationally.
- Must demonstrate the highest standard of customer service and recognise the importance of always presenting a highly professional image when representing the Executive team both internally and externally.
- Must be able to work independently, manage own workload and prioritise accordingly.
- Must have the stamina and resilience to cope with ever changing demands and priorities whilst dealing with a heavy workload.
- Must be an outstanding team member with sufficient flexibility and willingness to take on roles outside their normal functional responsibility when required.
- Energetic and eager to tackle new projects and ideas.
- Resourceful, with a can-do attitude.
- Thrives in a fast-faced environment.
